Your Role

The Administrative Services Manager will work closely with the Human Resources team and Office Leadership to ensure administrative and functional excellence in Gensler's New York City office.

What You Will Do

Administrative

Manage and schedule office Reception, Studio Coordinators and Executive Assistants.

Work closely with Studio Directors and Office Leaders on administrative staffing.

Collaborate with HR team on employee relations, recruiting, learning and professional development programs.

Involvement in administrative staffing and other operational functions within the office/region as appropriate.

Assess and implement new processes as needed for administrative and functional improvement in all areas.

Understand all Gensler policies and ensure compliance within the office.

Facilities

Work closely with our Office Services Manager in overseeing the Office Assistants, providing direction to maintain a professional and courteous interface with clients and staff.

Manage the Catering Function and Hospitality Coordinators ensuring we provide the highest quality food service to our clients and guests. Ensure conference rooms are clean and presentable at all times. Manage assignments and schedules including back-up during absences.

Work closely with Studio Directors and Office Leaders on studio space planning and seating. Forecast upcoming changes and develop scenarios.

Work with Office Services Manager to schedule all studio moves and renovations.

Oversee day to day activities of the mail room and work closely with the mailroom coordinator to monitor the quality of service.

Oversee all office event planning both on and offsite. Events include all staff meetings offsite, holiday parties, client events, retreats, etc.

Responsible for all budgets related to facilities (events, storage, supplies, repairs, maintenance, studio moves, food + beverages, etc.)

Evaluate, negotiate, and coordinate all maintenance contracts and work.

Coordinate with interior designers on furniture samples and handle all Certificate of Insurance requests. Schedule freight access as needed.

Your Qualifications

Bachelor's degree and 8+ years of experience in Office Management/HR

Strong project management skills; ability to handle multiple competing priorities; excellent organization skills, attention to detail and flexibility

Skilled in MS Office (Word, Excel, PowerPoint)

Ability to handle sensitive and confidential information appropriately

Ability to quickly learn systems, processes, and procedures

Strong initiative and solid judgment abilities/skills

Team player with the ability to establish collaborative working relationships

Self-motivated and capable of working under tight deadlines
